JOB DESCRIPTION

 

Position Title:            Chief Financial Officer           

Reports to:                CEO

 

Purpose:  Maintain the general ledger and prepare monthly financial statements for the United Way.  Manage payroll, accounts payable, accounts receivable, designations, grants and fixed assets.  Maintains records and accounting for EFSP, CFC, SECC.

Responsibilities

I.    Financial

  • Provide support to the Finance Committee
  • Prepare, analyze and provide interpretations of periodic reports for the Finance Committee, United Way Board and President
  • Prepare general ledger trial balance by the 10th of each month and submit profit and loss statements to each department by mid month
  • Maintain journals and other general ledger subsidiary ledgers
  • Prepare all bank deposits
  • Prepare payrolls for the 15th and last day of each month
  • Prepare timely and accurate disbursements of funds semi-monthly
  • Manage inventory, control and accounting for all fixed assets
  • Prepare and make monthly general ledger journal entries
  • Manage investment and savings accounts
  • Maintain spreadsheets for all grants
  • Prepare reports on a timely basis for all applicable grants
  • Prepare reconciliation of all bank accounts monthly
  • Prepare schedules and perform analysis for preparation of annual operating budget
  • Prepare year end audit work papers for external auditors
  • Coordinate and assist external auditors on year end audit of financial statements
    • Provide statistical data as required for special analysis
    • Preparation of supporting schedules, year end adjusting entries and compilations of year end financial information and statements for audit by independent audit firm
  • Oversee office in the absence of the President

II.   Combined Federal Campaign (CFC)

  • Provide all financial record keeping
  • Staff support for the Local Federal Coordinating Committee
  • Assist CFC Manager with budget, reports, pledges, etc.
  • Provide all material for Agreed Upon Procedures conducted by outside auditors
  • Disperse all funds in quarterly payments

III.  SECC

  • Provide all financial record keeping
  • Disperse all funds in quarterly payments
  • Assist SECC Manager with reports, pledges, etc.

IV.  Campaign

  • Provide staff and administrative support as needed throughout the campaign: assist with mailings, campaign materials distribution, LE training, and other duties as needed.
  • Input campaign data throughout the year
  • Prepare reports and keep accounts balanced
  • Send out donor tax letters annually
  • Assist with preparation of United Way Worldwide reports as needed

V.    EFSP (Emergency Food and Shelter Program)

  • Staff support for the local oversight committee
  • Assist EFSP manager with reporting requirements
  • Maintain all financial records

VI.    Human Resources

  • Submit payroll semimonthly, record all payroll in accounting software (Quickbooks Pro)
  • Assist new staff in completing all employee documents and send to Odyssey for input
  • Keep track of vacation and sick time accruals
  • Work closely with the benefits department on keeping staff benefits competitive
  • Prepare and maintain current salary ranges for each position
  • Maintain current and accurate records for all employees

VII.  Qualifications

  • Strong accounting background
  • Knowledge of accounting and not profit accounting
  • Must be extremely organized and able to work in a fast paced environment
  • Work independently and exercise independent thought and judgment
  • Ability to meet deadlines and manage multiple priorities
  • Strong computer skills, particularly in Word, Excel, Access and non-profit accounting software
  • Ability to work with volunteers in the nonprofit committee structure
  • Strong teamwork and time management skills
  • Maintain highest degree of work ethics-confidentiality
  • Personal values consistent with United Way mission, professional demeanor, integrity and goal orientation
  • Ability to read, analyze and interpret financial reports and legal documents
  • Ability to respond to common inquiries or complaints from donors, regulatory agencies or members of the business community and Board of Directors.

VIII. Education and/or Experience

  • Bachelor’s degree (B.A.) in accounting from four-year college or university or 5 years related financial accounting
  • CPA preferred

IX.   Physical Requirements

  • Some light to medium lifting is required
